AGM Information 
The Cold Lake Penguins RFC are in the
process of applying for Society status. This will enable us to create
programs within our community to the develop the sport of rugby. The
process for becoming a society has been laid out step by step and a draft of our
bylaws has been provided for you to look through.

The process for ratifying these Bylaws
will be as follows and discussed at the Bylaw Review Committee Meeting of Feb
24, 2004.
1. Committee review and upgrade Draft
Bylaws. (last week of Feb.)
2. Roll out Draft Bylaws for
Membership review and discussion. (first 2 weeks of March)
- Email members the
Draft Bylaws for Review.
- Post Draft Bylaws
on Website for Review.
- Phone members
without emails. notify them that a hard-copy of Draft Bylaw is
available for review.
- Questions/concerns
with Draft Bylaws should be noted and directed to the Committee.
3. Discussion of concerns stemming from
Membership Review of Draft Bylaws. (March 17, first indoor practice)
4. Vote for Membership Ratification
of Bylaws. (March 24, 2004)
5. Present Executive stands down.
Special General Meeting to vote for new Executive structure as outlined in
ratified Bylaws. (Last week of March, March 26 Snow fest Security???)
6. File Application for Society Status
(New President and Secretary responsible)
7. New President forms committees to deal
with;
- Sponsorship
- Fundraising/Security
- Field, Equipment, and Kit
- Discipline and Grievence
- Social
- Any others required.
8. Committees develop Policies and
Procedures, as directed to by the President, (reviewed by members) for
ratification by Executive. (all by the end of May?!?!?)
