In return
for a company's or individual's sponsorship, we're promising to
promote them at the level of their financial commitment. To do
this, we need their cooperation in providing us with adequate
material to carry out our part of the deal.
1. PRINTED PROGRAMS, WEBSITE PROMOTION, and BANNERS:
We're planning a printed program, website promotion, pennants and banners for the tournament, so every sponsor who donates $50 or more will get, at minimum, an ad in the program.
The more they
commit, the bigger the promotion in the program, the website,
the banner, etc. (See the green Sponsor Sheet Summary for details).
Premiere, Ultimate, and Platinum get full-page ad.
Gold gets 1/2-page ad
Silver gets 1/4-page ad
Bronze gets 1/8-page ad (approx. business card size)

Please at least get a business card or brochure, if they have one. If they have no printed material to give you, ask if they have anything on the computer they could send us. Send all web material to the Website Guy (Don) (put "SPONSOR, SIZE OF AD" in the subject line to help me sort them easier).
It's IMPORTANT
that they give you something for the program and the website,
something clear with their logo on it (please don't write on the
face of the business cards in case I want to scan the card).
Programs will be printed in B&W, and the finished ad sizes
will be as follows (approximate sizes):
Full page = 6.5 x 8
Half page = 6.5 x 4
Quarter page = 3.25 x 4
Eighth page = 3.25 x 2
Technical "digital
artwork" information:
All logos preferably in color, especially for the website
and banners.
We prefer high-resolution art, preferably vector.
Acceptable formats include:
-- (vector-based) PDF, EPS, AI, WMF, or CorelDraw.
-- (bitmap-based) Photoshop, JPG, TIF, and PNG files.
-- (other) Microsoft Word and Publisher files, Pagemaker and Indesign
Fonts converted to paths or curves, when possible.
2. How to approach businesses...
If you're
uncomfortable with approaching businesses for their support in
this event, consider this: We don't want to pressure anyone to
participate.
It's
simply community support we're looking for.
This is an opportunity for our community to welcome guests to
our town, displaying generosity and enthusiasm, while showcasing
and celebrating the achievements of our province's talented youth.
Businesses benefit
by associating their name with a positive event, while enabling
us to host a memorable tournament. That's the purpose of our efforts:
to put on an event that participants will cheerfully remember.
1. Familiarize
yourself with what we're proposing. Read the two handouts thoroughly,
so you'll be able to locate answers to their questions.
2. Approach
them, asking for the person responsible for advertising.
3. Give a brief explanation about the upcoming Provincial tournament
and a sampling of the events (evening barbecue, skills competition,
and pancake breakfast).
4. Simply ask,
"Would you like to help out by sponsoring in some way, the
U-14 Boys Provincial Soccer Tournament?"
5. Should they commit to sponsor, fill out the form (please write
neatly). Collect the cheque or cash, and the material for their
ads/website/banners.
6. Ask them what they require from us to ensure their needs are
met, such as receipts, copies of the programs, photos of banners
in place, etc.
7. Thank them for their time and generosity.
8. Promptly email a list of the businesses you've visited, and
I'll post them on the site (alphabetically, and by town), to try
to prevent duplication of visits.
The two-part
package you've been given contains most of what you need to secure
sponsors.
The green sheet introduces
the event, summarizes the Sponsorship Opportunities available
to them, and what they'll receive in return. Leave the Green
Sheet with them, especially if they need time to consider
how they'd like to help out.
The white sheet contains the form to acquire the necessary
information so we can fulfill our promotional obligations.
